This is How Tech Helps (and Hurts) Us in the Workplace

A recent Fast Company article revealed that psychologist Gloria Mark discovered a dramatic drop in our attention span in front of screens. In 2004, our attention span was 2.5 minutes. In 2020, it had dropped to a paltry 47 seconds. Some would quickly blame tech use for this shift – or individual apps like TikTok. 

But technology is a tool. Like any tool, it can be wielded with purpose or used carelessly. It’s the knife that chops your vegetables versus the knife that slices your finger! It’s the same knife. The difference is in how it’s wielded. 

Technology in the workplace can be both a positive and a negative influence, depending on how it is implemented and used. If we’re going to maximize the positives, we need to understand both risks and benefits!

Benefits of Technology in the Workplace

#1 – Increased Efficiency and Productivity

The automation of repetitive tasks allows employees to focus on higher-value activities. Thank goodness we don’t have to be “lost in the weeds” all day! I know in my work, I would much rather focus on doing the things that matter.

Then, there are many great apps and platforms – tools like project management software that streamline workflow and improve collaboration. We rely on these things to stay organized and on the same page.

#2 – Enhanced Communication

Platforms like Slack, Teams, and Zoom make remote and real-time communication seamless. My family’s company has offices in several cities, and I can’t imagine what a hassle it would be if we could only connect via phone. Email, chat, and video conferencing simply changed the game.

Technology bridges geographical barriers, opening up once-impossible opportunities.

#3 – Better Decision-Making

I like to have all the information at the end of my fingertips. Today, that’s possible. Data analytics tools provide insights that help leaders make informed, strategic decisions. Not only that, but this data is often delivered in real-time – allowing us to be more agile than ever!

#4 – Flexibility and Remote Work

Cloud-based tools allow us to work from anywhere with an internet connection. Flexible working environments can improve job satisfaction and attract top talent – as many discovered during the pandemic!

#5 – Improved Employee Training

E-learning platforms make upskilling accessible and scalable. People can learn for free on YouTube, take online college courses, or join skill-based learning platforms.

#6 – Cost Savings

We take for granted how much automation and digital tools reduce operational costs. It saves on storage space and streamlines the processes we used to pay someone to do. Plus, virtual meetings eliminate travel expenses, saving time and money.

Drawbacks of Technology in the Workplace

#1 – Over-Reliance on Technology

People may become too dependent on tools such as AI, which reduces their critical thinking and problem-solving skills. We still need to be able to function without tech because technical issues, like system outages, can disrupt operations significantly.

#2 – Distractions and Reduced Focus

Constant notifications from email, messaging apps, and social media are massive distractions. It makes it difficult to focus and do deep work. Technology also makes us think we can multitask – often resulting in mistakes and lower-quality work.

#3 – Workplace Surveillance

Monitoring tools can create a sense of mistrust and reduce employee morale. No one likes feeling spied upon! Privacy concerns may arise, leading to workplace tension.

#4 – Skill Gaps and Job Displacement

Technology moves alarmingly fast. Rapid advancements can leave skilled individuals unprepared for new tools and processes. Eventually, automation and AI may lead to job losses, too. We run the risk of becoming obsolete!

#5 – Increased Stress

“Always on” technology blurs work and personal life boundaries, leading to burnout. It makes work-life balance harder to achieve and creates anxiety.

#6 – Security Risks

Too many people – especially sole proprietors and small business owners – don’t know how to properly handle cybersecurity. Cybersecurity threats, like phishing and data breaches, can compromise sensitive company information.

How to Maximize the Benefits While Mitigating the Downsides

Ensure everyone is comfortable with new tools through training and support.

Second – Set Boundaries

Encourage your team to disconnect after hours.

Third – Use Technology Intentionally

Adopt tools that serve a defined purpose – not just new for newness’ sake.

Fourth – Maintain Cybersecurity

Invest in robust security measures and educate your team on safe practices.

Finally – Foster Balance

Blend human interaction with technology to maintain a healthy workplace culture.

Remember, technology is neither inherently good nor bad—it’s a tool. When used thoughtfully and strategically, it can amplify workplace success. However, unchecked implementation without considering people can lead to unintended consequences.
